Requests and confirmed gigs
A gig has a name, a date, start and end time, a location with an optional map link, a fee, a description and a status:
- Request: someone asked, nothing is signed. Use it while you check the band's availability.
- Confirmed: it is happening.
- Cancelled: it is not, but you keep the record.
The calendar shows requests and confirmed gigs in different colours. Upcoming gigs appear on the band's home page.
Asking who is available
From a gig, send an availability request to the members. Everyone receives a personal link by email and, if they have a phone number, by SMS. Opening the link shows the gig and two buttons: available or not available. No login is needed, so it works from any phone in seconds.
The gig page shows who has answered, who is available, who is not, and who has not replied yet. Send a reminder to the people who have not answered. Once you know enough, confirm the gig.
Participants
Not every member plays every gig. Mark the participants on the gig page: the line-up for this show. Participants get the reminders, appear on the gig sheet and are the people who can be assigned items on the packing checklist. By default, everyone who said they are available is a participant.
Attaching a setlist
Pick a setlist for the gig. Members see it on the gig page, and Print gig sheet gives you one document with the times, the address, the line-up, the setlist and the packing list.
Packing checklist
Each gig has its own packing checklist. Start from a kit (see Gear and packing) or add items one by one, set the quantity and assign who brings what. In the van, tick items off as they are loaded. The list shows what is still missing and who is responsible for it.
Fees and quotes
The fee on a gig is for your own records; members with the member role see it too. If you sent a quote for the gig, link them: the quote's total is shown on the gig, and the client's acceptance updates the record.
