How it works

Finding a rehearsal slot is a matter of seeing everyone's free time at once. In Rehearsals, each member paints the hours they are free over the coming weeks. The band leader or a manager sees the combined picture and picks a slot. Nobody has to answer a poll or scroll through a chat.

Painting availability

Open Rehearsals and switch to your own availability. The week is a grid of days and hours between the band's day start and day end (set in the band settings). Drag over the hours you are free; drag again to clear them. On a phone, tap and hold, then drag. Paint several weeks ahead if you can; it makes scheduling much easier.

Your availability is per band, so if you are in two bands you paint it in each.

The heat map

The band view merges everyone's availability into a heat map: the darker the cell, the more members are free. Hover or tap a cell to see exactly who is available at that hour. Members who have not painted anything are listed separately, so you can chase them.

Scheduling

Click a slot in the heat map, or use New rehearsal, and set the date, start and end time, the location and notes (what to prepare, which songs). Members receive a notification by email with the details. The rehearsal appears in the band calendar next to the gigs.

Reminders

A reminder goes out by email, and by SMS to members with a phone number, a set number of hours before every rehearsal. The number of hours is a band setting; twelve hours is the default. The reminder is sent once, even if the rehearsal is edited later.

Cancelling and changing

Editing a rehearsal keeps it in place and notifies the members of the change. Cancelling it removes it from the calendar and tells everyone. Availability that members painted is not affected, so you can pick a new slot straight away.
