Quotes

What a quote is

A quote is a price offer for a client: a wedding couple, a company, a venue. It lists what you offer, in which language, at what price, and until when the offer is valid. Quotes are written by the band leader or a manager. Clients see a clean page or a PDF, never the app.

The service catalog

Before writing quotes, build your catalog: every service you sell, with a category, a name, a description, a default length and a default price. Examples: Live set 45 min, Ceremony music, DJ set between sets, Sound system for 150 guests, Travel beyond 50 km. If you quote in several languages, add a translated name and description per language; the quote picks the right one automatically.

Writing a quote

Create a quote from a template or from scratch. Set the client, the event date, the venue, the currency, the language and the validity date. Then add sections:

• Schedule: the timeline of the event as you propose it.
• Services: the catalog items with quantity, length and price.
• Coverage: what is included, for example sound, lights, travel.
• Pricing: the totals.
• Summary and text: free paragraphs, an introduction, terms of payment.

Lines can be grouped under a label, and any line can be excluded from the total (for options the client may add).

VAT

Set the VAT rate on the quote if you charge it. The pricing section then shows the net amount, the VAT and the total. Leave the rate empty if VAT does not apply to you. Your VAT number, if you enter it in the band settings, is printed on the quote.

Sharing with the client

Every quote has a private link. Send it to the client by email or paste it into a message; they see the quote as a web page in the quote's language, with a Download PDF button. The link is unguessable but not password protected: anyone who has it can open it. Regenerate the link if it was sent to the wrong person.

Statuses

A quote moves through four statuses:

• Draft: you are still writing it; the link shows nothing yet.
• Sent: you shared it. The page is live.
• Accepted: the client said yes. Link the quote to the gig.
• Declined: keep it for the record and the numbers.

Duplicate an accepted quote for the next similar client instead of starting over.
